Back to topPower BI is a cloud-based business analytics service from Microsoft that allows you to have a single view on your most critical business data at any time, from any place. With free Power BI account you will be able to load up to 1 GB of data per user and use this data to create, view and share your personal dashboards and reports with other Power BI users, access your dashboards on mobile devices or publish them to the web.
Power BI extension will deliver reporting data from your Magento store to Power BI Online service. Based on this data you can create interactive reporting and dashboards that will be available to you at any time. Data will be updated on a regular schedule, so you will always be able to see relevant data. Power BI extension allows you to configure different data to be delivered on a regular schedule or in Live mode to allow you updating the data within weekly, daily, hourly or even with several minutes intervals.
Account & Pricing
Power BI extension is integrated with Azure Active Directory (Azure AD) to provide secure sign-in and authorization for your Magento store. Before you start using Power BI extension you need an Azure Active Directory tenant, an organizational user, and a Power BI service account. All users, who will be using Power BI from your Magento store will have to be added to your Azure Active Directory tenant.
The extension uses a Client ID to identify itself to Azure AD. You also need a client secret key. Please, refer to Microsoft Power BI documentation for the information on how to set up an Azure AD environment for the Power BI app in and get authentication security token (client secret key). Obtained client ID and client secret key might be provided to the Power BI extension on Magento configuration page.
You can use Power BI for free or buy Power BI Pro for $9.99 / USER / MONTH. Alternatively, you may purchase capacity based service with Power BI Premium package. See pricing and features for more details. All features described below relate to a free service plan if not stated explicitly.
Additionally, you will be required to register on a website of the extension developer to get the license activation code for your license.

Power BI extension for Magento offers a range of Table Profiles to help users access and manage data from their Magento store to further create insightful reports. Here is a brief overview of each type of Table Profile available:
- API Table Profiles: This type of Table Profile allows for the extraction of data from various functionalities within the Magento platform. Through the use of APIs, the API Table Profile enables the delivery of all available information from Magento to Power BI. It essentially serves as a mapping tool that aligns and formats the data fields and columns from Magento to match those in Power BI. By doing so, it facilitates the creation of reports of varying complexity that can be used for business analysis and decision-making purposes.
- CSV Table Profiles: This type of Table Profile allows users to import data from CSV files into their Power BI reports. Users can define the format of the CSV file and specify which data elements to import.
- Report Table Profiles: will deliver data from Magento default reports such on sales, products, customers, etc.

Power BI Reports & Dashboards
Flexible data configuration allows you to send data only for the period you want to monitor: it could be the latest days, weeks or months, the previous day, YTD values or other desired configuration.
Mobile App
Access your data at any time with Power BI Mobile - Power BI app for Windows, iOS and Android. Optionally you will also be able to see your Power BI Reports and Dashboards in your Magento store.
Data Alerts
Set alerts to notify you when data in your dashboards changes beyond limits you set. Data alerts are fully synchronized across platforms; set and view data alerts in the Power BI mobile app for iPhone, Power BI mobile app for Windows and in the Power BI service. Power BI sends an alert to your notification center and, optionally, in an email. Each alert contains a direct link to your data.
Workflow
The workflow is quite simple. Once installed the extension will add the possibility to send data from reporting pages of the Magento store to Power BI extension. Triggering this action will create an export profile within the extension and will keep information about selected filters. On the extension's page, you may finish the configuration of the export profile by setting dynamic date intervals and adding Power BI specific configurations such as Dataset and Table names. The next step would be to activate the export profile and publish the dataset.
To have a well-organized process of dashboards and reports creation it is recommended to do some initial planning so that you will prepare all data you will need for your report at once.
Limitations
Microsoft offers free accounts with 1 GB of storage limit and 10K rows/hour for streaming data. You may increase this limit with a subscription for the Power BI Pro account. Since the extension gives the possibility to deliver only portions of the data you need, you may stay within the limits of a free account.
Also, you may control the size of the data by taking aggregated reporting data. Since the extension is using REST API to deliver data directly to Power BI service, the limitation of data updates once per day does not apply. The extension currently supports data loading from 13 Magento reports in Magento 2. Full list of supported reports you may find in the Users Guide. The current version of the extension and Power BI API have several limitations, that should be taken into account:
- 75 max columns
- 75 max tables
- 1,000,000 max rows per table
- 10,000 rows added per hour per dataset (with pro service plan: 1,000,000 rows added per hour per dataset)
- 5 max pending POST rows requests per dataset
- 120 POST rows requests per minute per dataset
- 4,000 characters per value for string column in POST rows operation
